How it Works: The Working Process for Cover Art

Here is the basic process for creating covers with Paper & Sage. If you have any questions, please send an email.customcover-howitworks
I have split the following page into two sections, one for Custom Covers & one for Pre-made Covers. In general, the same process is followed for both, except for the scheduling details. Scheduling a Custom Cover is a very important step of the process that doesn’t apply to Pre-mades, so if you’re ordering a Custom Cover, please pay close attention to the details of step #3.

How it Works: Pre-Made Covers

  1. Please fill out the form and complete the purchase via the “Buy Now” button beside the pre-made you’d like. The only exception to this is if you’re interested in a tweak to the pre-made design (see details here) and need to contact me first.
  2. PLEASE be sure to check your spam folder over the next few days, just in case.
  3. If necessary, I will contact you with any questions or for additional details. Here are a few typical details that I may request, depending on your order:
    • Print details. If you’ve purchased a print layout, I will need the information at this link.
    • Social media details. Similarly, if you’ve purchased a social media banner as part of the bundle, I may have a few follow-up questions.
    • Any further questions about the information provided.
  4. Once I have all of the information I need, the first proof will be ready within 2-3 business days. I will email details about how to log in at the proof site to view your art. (Again, it’s a good idea to keep an eye on your spam folder.)
  5. You’ll send feedback on the first design. I’ll follow-up with any questions, or make the requested revisions and send a new proof.
  6. We repeat the above step. Pre-mades purchases can include up to 3 proofs. If additional proofs are required, additional cost will be involved.
  7. When you are pleased with your artwork, please Approve it on the proof site.*
  8. I will send the final files at this point. The price was paid in full at the time of a pre-made purchase, so there is no outstanding balance.
    The delivered files will vary depending on your original purchase.

    • Ebook only:
      • I will email the JPG file within 2 business days. You have the final file and can move forward with other aspects of your book and writing!
    • Ebook and print:
      • If the back text and page count are already confirmed: I will export all final files, both ebook JPG and print-ready PDF, and deliver them to you within 2 business days.
      • If the back text and/or page count are still pending: I will send the final ebook JPG within 2 business days. Then, to finalize the the print-ready PDF, when you have the details ready let me know (a quick, helpful form is available here). I will update the approved version of the print layout at that point and send the final, print-ready PDF within 2-3 business days.**
    • Side note: If working with CreateSpace, the print file that I send you is designed specifically to be uploaded via the “upload a print-ready PDF” option.

How it Works: Custom Covers

  1. I receive initial contact about your cover. I will follow-up with any questions and I hope that you will do the same.
  2. PLEASE be sure to check your spam folder over the next few days for my response, just in case.
  3. We agree on a week to schedule your project. The non-refundable deposit invoice is sent to reserve that week. There are several details to keep in mind when choosing a week:
    • We will endeavor to finish your art within the scheduled week. So please do not choose a week during which you will be out of the country, or you know will be extremely busy, personally or professionally. I want us to both be able to focus on your art together!
    • If we have been working together diligently and find that we will not finish the artwork within the scheduled time, I am happy to extend the project by 3 business days. If, after 10 business days, the cover is still incomplete, the project will need to be re-scheduled at additional cost. *Please note that an extension into the next week does effect any other authors scheduled for that time as well, so it should function primarily as an opportunity to finalize small details. 
    • Any additional details, files, or updates should be sent 8-5 business days before the scheduled week. The week before your project is scheduled, I do preliminary work so the first proof is ready on the Monday of your scheduled week. Any changes given past this deadline may require that your project be re-scheduled at your expense.
  4. On Monday of your scheduled week, the first proof of your cover will be ready for you to view! I will email details about how to log in at the proof site to view your art. (For international customers: I am working in Eastern Standard Time, so the first proof’s arrival may align differently with your time zone). *Also, if you haven’t gotten this email by Tuesday afternoon, please let me know, occasionally an email will get lost in cyberspace (or marked as spam).
  5. You’ll send feedback on the first design. Your initial feedback is expected within 48 hours after the proof is sent (preferably sooner). If this will not fit within your schedule, we should chose another week to work together on the cover.
  6. I’ll follow-up with any questions, or make the requested revisions and send a new proof.
  7. We repeat the above step. (Each Custom Cover package includes a particular number of revisions. Please feel free to review these details on the Custom Cover page.)
  8. When you are pleased with your artwork, please Approve it on the proof site.*
  9. I will send the final invoice. Once it is paid, I will deliver the final files.
  10. At this point, the process changes a bit depending on the print layout.
    • Ebook only:
      • I will email the JPG file within 2 business days. You have the final file and can move forward with other aspects of your book and writing!
    • Ebook and print:
      • If the back text and page count are already confirmed: I will export all final files, both ebook JPG and print-ready PDF, and deliver them to you within 2 business days.
      • If the back text and/or page count are still pending: I will send the final ebook JPG within 2 business days. Then, to finalize the the print-ready PDF, when you have the details ready let me know (a quick, helpful form is available here). I will update the approved version of the print layout at that point and send the final, print-ready PDF within 2-3 business days.**
    • Side note: If working with CreateSpace, the print file that I send you is designed specifically to be uploaded via the “upload a print-ready PDF” option.

Following this process as closely as possible allows Paper & Sage to offer quality art at reasonable prices. If significant deviations from the above process are required for your project, please understand that additional cost may be required as well.

*All Approvals are final and additional costs will be required if changes are made after approval is given. This can involve re-scheduling your art. Please be sure you’re 100% ready to approve when you hit the “approve” button.

**If the back text and/or page count are still pending when Approval is given, this means that there are no further changes to the print layout beyond replacing “filler text” with the final text for the back cover and updating the spine size with the final page count. Please do not expect to receive additional proofs when the final page count and back text are ready. So be sure you are happy with the back and spine layout as well as the front cover art when you submit your approval.
